Core Issues Trust is the data controller for the personal information processed in connection with the IFTCC International Conference.
The IFTCC Conference website and Conference Platform are operated for the purpose of managing and delivering the IFTCC International Conference, including conference registration, livestreaming, session access, replay management, translation services, and related conference administration.
Information We Collect
Depending on how you use the conference website, we may collect information including your name, email address, contact details, registration information, attendance type, country, payment-related registration information, saved conference sessions, and other information you choose to provide.
Technical information such as IP address, browser information, device information, login activity, and website usage data may also be processed for security, access control, troubleshooting, and operation of the conference platform.
Participant Privacy and Confidentiality
Private registration details, contact information, account details and payment information are not accessible to other conference participants or visitors to the public website.
IFTCC does not publish delegate registration lists or share private participant details with sponsors or other delegates. Information is not sold, rented or disclosed to third parties for their own advertising or unrelated marketing purposes.
Access to participant records is restricted to authorised administrators and service providers who need the information to deliver conference services. Information deliberately posted in public Q&A or chat features may be visible to other users.
Google and YouTube Data
The IFTCC Conference Platform uses Google OAuth and the YouTube Data API to manage conference livestreams on authorised IFTCC YouTube channels.
When an authorised conference administrator connects a YouTube channel, the platform may access information necessary to:
- identify the connected YouTube channel;
- view and manage reusable livestream encoder streams;
- create and manage YouTube livestream broadcasts;
- set or update conference livestream metadata such as titles, descriptions, tags, privacy settings, and related information;
- associate conference broadcasts with the appropriate encoder stream;
- obtain broadcast and viewing URLs;
- monitor broadcast status; and
- end or update broadcasts as part of conference operations.
Google OAuth access is limited to authorised conference accounts used for operating IFTCC livestreams. The Conference Platform does not use Google or YouTube account data for advertising, profiling, or sale to third parties.
OAuth access tokens and refresh tokens may be stored securely by the Conference Platform where necessary to maintain authorised access to connected YouTube channels. These credentials are used only to perform the conference livestream functions described above.
Access to a connected Google or YouTube account may be revoked at any time through the relevant Google Account security settings.
The IFTCC Conference Platform's use and transfer of information received from Google APIs will comply with the Google API Services User Data Policy, including its Limited Use requirements.
Google account permissions: https://myaccount.google.com/permissions. Google Privacy Policy: https://policies.google.com/privacy. YouTube Terms: https://www.youtube.com/t/terms.
Livestreaming and Media Services
Conference livestreams and recordings may be distributed through services including the IFTCC Media Server, YouTube, Zoom, and Wordly. These third-party services may process technical, account, media, or usage information according to their own privacy policies.
Participants should be informed when sessions are recorded. Questions, contributions or images included in recordings may also be retained or made available through conference replays.
Translation Services
Where live translation is provided, conference audio may be transmitted to Wordly or another designated translation provider for the purpose of generating live translation, captions, or related language services.
Payments and Registration
Payments may be processed through third-party payment providers such as Stripe or WooCommerce-supported payment services. Payment card information is processed by the relevant payment provider and is not stored directly by the IFTCC Conference Platform unless explicitly stated.
How We Use Information
Information collected through the Conference Platform may be used to:
- process conference registrations;
- provide access to conference content;
- operate livestreams and translations;
- manage conference sessions and replays;
- communicate with attendees;
- maintain security and prevent unauthorised access;
- troubleshoot and improve conference services; and
- meet legal, administrative, and accounting requirements.
Lawful Bases for Processing
Under Article 6 of the UK GDPR, processing may rely on contractual necessity for registration and delivery, legal obligations for financial records, legitimate interests in securing and administering the platform, and consent where required for optional communications or technologies. The applicable basis depends on the particular processing activity.
Sensitive Personal Information
Participation may involve information revealing religious beliefs, health, sexual orientation or other special category data. Where such information is processed, Core Issues Trust will identify both an Article 6 lawful basis and an applicable Article 9 condition, with appropriate safeguards.
Sharing of Information
We do not sell personal information.
Information may be shared with service providers where necessary to operate the conference, including hosting providers, payment processors, livestreaming platforms, translation providers, email services, and other technical suppliers.
Information may also be disclosed where required by law or where reasonably necessary to protect the security and integrity of the Conference Platform.
International Transfers
Where personal information is transferred outside the United Kingdom, appropriate UK GDPR transfer arrangements will be used where required, such as adequacy regulations or recognised contractual safeguards. Details of applicable arrangements may be requested using the contact information below.
Data Retention
Information is retained only for as long as reasonably necessary for conference administration, legal requirements, security, accounting, or the operation of conference services.
Google OAuth credentials are retained only while the relevant integration remains authorised or operationally required.
Retention periods or criteria must be documented for registration records, financial records, access logs, recordings and transcripts. [Confirm actual periods before publication.]
Security
Reasonable technical and organisational measures are used to protect information against unauthorised access, alteration, disclosure, or loss.
No internet-based system can be guaranteed to be completely secure.
Your Choices
You may request information about personal data held about you, request correction of inaccurate information, or request deletion where applicable.
You may revoke Google account access granted to the IFTCC Conference Platform through your Google Account security settings.
Additional UK GDPR Rights
Subject to applicable conditions and exemptions, individuals may also request restriction of processing, data portability, or object to processing, including direct marketing. Where processing relies on consent, consent may be withdrawn without affecting prior lawful processing. Applicable protections also exist in relation to certain solely automated decisions.
Requests may be sent to info@core-issues.org and will normally be answered within one month, subject to any lawful extension.
Cookies and Similar Technologies
Essential cookies may be used for account access and security. Non-essential cookies or similar tracking technologies will be used only with any consent required by UK privacy and electronic communications law. [Confirm actual cookie practices before publication.]
